Importing and exporting taxes, units and teams
Who can do this: team leaders, administrators and owners.
What it does
The Actions menu on the Taxes, Units and Teams lists holds Import and Export.
Export writes the list to a CSV file. Selected takes the rows you ticked. All Matching takes the rows your search matches. Everything takes all of them. Export opens on All Columns. Choose Columns keeps the columns the import needs ticked, and you can’t untick them. You can change the file in a spreadsheet and import it straight back.
The export runs in the background. When the file is ready, a message and an email tell you. Download in the message gets the file. View Job opens the job in Bulk Activity, which has the download too.
Import reads a CSV file with the columns an export writes. Lucrii matches each row to a record by its name, ignoring capitals. A match updates the record. No match creates a new one. Before Lucrii saves anything, Check File counts the new records, the updates and the rows with errors. It reads like 3 new taxes, 2 updates and 1 row with errors. It also lists the values the file clears. Check File counts a row that doesn’t change its record as neither new nor an update, and Lucrii skips it. Check File says so, as in “4 rows change nothing, so Lucrii will skip them.” Download Errors gives you every row with errors. Import then saves the other rows. Closing the window before you select Import cancels the check. So does a reload or a closed tab. Imported back unchanged, an exported file doesn’t clear anything.
The columns are:
- Taxes:
name, percentanddefault.defaultsays yes for your default tax and is blank for the rest. - Units:
nameandplural_name. - Teams:
name,manager_email, the email of the member who manages the team, andmember_emails, the emails of everyone on the team, separated by|.
Each of these files ends with created_at and created_by, then updated_at and updated_by, in your organisation’s time zone. These columns are for reading. Importing and exporting contacts explains them, the headings and the rows Lucrii skips.
A blank cell does one of four things, depending on the column:
- A blank
name,percentorplural_nameis a problem. Lucrii does not save that row. - A blank
manager_emailtakes the team’s manager off. - A blank
member_emailstakes everyone off the team. On a team with a manager, the row needs a blankmanager_emailtoo. A file withoutmember_emailsleaves each team’s members as they are. - A blank
defaultleaves your default tax as it is.
Before you start
Exporting is for a team leader or above. Importing is for an administrator or above. Below that, the Actions menu leaves those items out.
A file can leave out any column except name, and percent in a tax file or plural_name in a unit file. Lucrii refuses a file that lacks one of them, names a column twice or has a heading it does not read. A column left out keeps its field as it is. A heading can be a column’s name or its label. Download Template in the import window gives you every column the import reads.
In a tax file, at most one row may say yes under default. Lucrii refuses a file with two or more, and imports nothing in it. The row that says yes becomes your default tax. The tax marked before it is no longer the default. A file where no row says yes leaves your default where it is.
A manager’s email must belong to a member of your organisation. Lucrii matches each email in member_emails without regard to capitals. Each must belong to a member, or to someone already on the team. When the file has member_emails, a row that adds a team or changes its name, manager or members must keep the manager among the members. Lucrii skips a row that changes nothing, even when the team’s manager is not one of its members.
One import runs at a time in an organisation, whatever it imports. Importing and exporting contacts says what shows when you start a second.
A file can be up to 25 MB, 50,000 rows and 1,024 columns. A file with more than 128 columns has a lower row limit, and Lucrii says how many fit when it refuses one. A column name can be up to 128 characters. Lucrii refuses a file with a header row and no data rows as you choose it, before anything is uploaded.
Lucrii refuses a row with a cell longer than its column allows. Importing and exporting contacts says more.
You can have three jobs in progress at once, counting bulk actions and exports together. Quotes, sales orders and purchase orders says how the limit works.
How to use it
- Open Settings, then Taxes, Units or Teams under Organisation.
- Select Actions.
- Select Export, choose what to include, and start the export.
- When the file is ready, download it from the message or from the job in Bulk Activity.
- To bring a file in, select Import, drop or choose the file, select Check File, read what it will change, and select Import.
Troubleshooting
The import says “Use the template’s columns.” The message lists the columns to add, the ones to remove, the ones to keep once and the ones to shorten. Fix the file’s first row, or select Download Template in the import window and copy your rows into it.
A row is reported as a problem. The message gives the cell and one of the reasons below.
- A blank
name,percentorplural_name. - A name used on two rows of one file, even where the capitals differ.
- A
percentthat is not a plain number with at most four decimal places. A plain number such as 10 or 7.5 is fine. - A
percentoutside 0 to 100. - More than one row saying yes under
default. The message reads “Mark only one row yes under Default.” - A
manager_emailormember_emailsaddress no member of your organisation has. - A
member_emailscell that leaves out the team’s manager. The message reads “Add the manager’s email to Member Emails.”
A team row reports “The team was saved, but its manager could not be added to its members. Add them on the team’s page.” Open the team and select Add Members to add its manager.
A team row reports “The team’s members were not changed. Import the file again.” Import the same file again. A row that reports “The team’s name and manager were not changed. Import the file again.” takes the same fix.
A tax row reports “The rate is not the default yet. Import the file again.” Import the same file again, or open the tax and select Set as default. A row that changes nothing but the default gives the reason the mark failed instead.
