Options and variants

What it does

Options describe an item that comes in more than one form. Each option is a dimension with a name and a list of values, such as Size with Small, Medium and Large. Every combination of values across the options becomes a variant, and the variants table lists them with a price, a cost with the average paid underneath it, and a quantity of their own, shown as available. That is what is left to sell after open sales orders take what they have reserved.

The Variants card is in edit mode on the create form and on the edit form. It is read-only on the item page, where it appears once the options make at least one full combination.

Before you start

An item can take up to three option dimensions and up to 2,048 variants. Once you reach either limit, Add option is replaced with a line stating which one you met. The box for another value drops away only when the variant limit is the one an extra value would cross.

Deleting a variant is final once the item is saved.

A stock adjustment skips any variant that is not tracking inventory.

How to use it

  1. Open the item’s Variants card and select Add option.
  2. Give the option a name, using the Option name field, and type each value into the Add another value box and press Enter.
  3. Select Done to collapse the option. The variants table fills in underneath with a row for each combination.
  4. Set a price on any variant row that differs from the item’s own.
  5. Drag the handle at the left of an option or a value to reorder it.

To remove variants, select their rows, open the row menu and choose Delete Variants. To adjust variant stock, select the rows, open the same menu and choose Adjust Stock.

Troubleshooting

If the variants cannot be checked, a line above the rows already on screen says they may be out of date.

  • Creating an item: The create button opens the item form, which covers naming, pricing, stock tracking and the vendor you buy from.
  • Adjusting stock: The Inventory card shows an item’s quantity at each location and opens the window that moves it up or down outside an order.
  • Pricing, shipping and vendor details: The cards on an item cover its prices and tax, its shipping details, the vendor you buy it from and its categories.
  • Editing and deleting an item: Edit reopens the item form, and More Actions holds the audit history and the trash.
