Editing and deleting an item

Last Updated: September 30, 2026

What it does

Edit reopens the item in the same form it was created in, with every field filled from the saved item. The header swaps its buttons for Save and Cancel while you are in it. The badges beside the title keep showing the status and whether the item is physical or a subscription.

Under More Actions there are two entries. View audit history opens the item’s change log in a new tab and leaves the item where you were reading it. Trash deletes the item after a confirmation that names it.

Before you start

Deleting an item cannot be undone.

How to use it

  1. Open the item and select Edit.
  2. Change what you need. The form is the create form. Every card behaves the same way.
  3. Select Save in the header, or Cancel to return to the item without writing anything.

To delete an item, select More Actions, then Trash, then Delete in the window that opens. The list of items opens once the item is gone.

The title at the top of an item copies to your clipboard when you select it, which is quicker than reading it back to someone over the phone. The up and down arrows at the right of the header step to the item before and after in the list you arrived from, keeping its filters and sort order. They are greyed out where there is no neighbour to step to.

  • Creating an item: The create button opens the item form, which covers naming, pricing, stock tracking and the vendor you buy from.
  • Pricing, shipping and vendor details: The cards on an item cover its prices and tax, its shipping details, the vendor you buy it from and its categories.
  • Notes and media on items and locations: The timeline at the foot of an item or a location takes staff notes and attachments, and an item also has a Media card for its pictures.
  • Items and locations: Inventory is two lists, one of the items you buy and sell and one of the locations you keep them in.
  • Audit history on a record: A record’s audit page is the dated list of what was changed on it, by whom, with the value before and after each change.
