Plan, usage and payment

What it does

Billing is a column of cards for the organisation’s subscription.

Current Plan names the plan and, once it is paid, the price per user per month. The line under the name is a trial and its end date, or a payment past due. It can also be a cancellation dated to the end of the period, or a grace period. The button beside it changes with that state, between Upgrade, Update Payment, Cancel Subscription, Undo Cancellation and Reactivate.

Team gives the seat count and the monthly total those seats come to, with a link through to Members.

Usage lists Invoices, Quotes, Sales Orders, Purchase Orders, Contacts and Items, each as a count against the plan limit. A bar shows the limits that are set, and the word Unlimited shows the ones that are not. The free plan allows 3 active invoices, 3 active quotes, 3 active sales orders, 3 active purchase orders, 25 contacts and 50 items. You can add 2 more past each limit before the create button turns off. Early Access sets none of the six. Each of them reads Unlimited on that plan.

Hermes AI Credits shows free credits used out of the total, overage for this period, the spending limit, and the rate charged per thousand credits past the free tier. Storage does the same for megabytes used. Payment opens the payment portal, where cards, invoices and billing details are changed.

Before you start

Owner only. A member, a team leader or an administrator sees an Access Denied alert instead, saying that only organisation owners can access billing settings.

A child organisation is billed through its parent. Instead of the cards it shows Billing Managed by Parent Organisation and a Go to Parent Billing button that takes you to the parent.

On a self-hosted deployment, billing is not available, and every feature is unlocked.

The spending limit is a whole number of dollars between zero and one thousand. Zero means no limit, not zero to spend.

How to use it

  1. Open Settings, then Billing under Organisation.
  2. Select Upgrade to start a subscription. Checkout opens away from Lucrii and returns you here.
  3. To change a spending limit, select the amount beside Spending limit, enter a figure, and select Save.
  4. To cancel, select Cancel Subscription and confirm with Yes, Cancel. Undo Cancellation is on the same card until the period ends.
  5. Select Manage Billing to open the portal for cards, invoices and billing details.

Cancelling runs to the end of the period you already paid for. If a payment fails, fix it with Update Payment, not Reactivate, since your subscription was never cancelled.

The Hermes AI Credits card shows only for an organisation on a paid plan that includes credits, and the rate line shows only when a rate is set.

  • Members and invitations: The members page lists everyone in the organisation, with the invitations, role changes and access revocations beside them.
  • General organisation settings: Name, logo, currency, country, timezone, business type, email signature, the two consent switches and the quests setting for the organisation.
  • Creating another organisation: An owner creates a second organisation through a short Hermes wizard, and it is billed through its parent.
