Stock locations

What it does

A location is a warehouse, a shop or anywhere else stock sits. Each has a Name, an Address and a Status of Active or Archived. Every on-hand quantity on an item belongs to a location, so a receiving step on a purchase order and a stock adjustment both ask which one.

One location is the organisation’s default, marked with a Default badge in its header. Fulfilling a sales order starts from it, as the location the goods ship from.

The Stats card on a location reports SKUs, Stock, Retail Value and Cost Value, or says no stats are available where it has nothing to report.

Before you start

A location holding stock cannot be deleted. The Delete button is greyed out and says to move its stock first. Being the default location is not a problem: the default passes to another active location, or goes with the last one if there is no other.

An archived location keeps its existing stock levels visible, but drops off the list you can adjust stock into.

How to use it

  1. Open Inventory, select Locations, and select Create Location.
  2. Give the location a Name.
  3. Fill the Address. Typing into the street line suggests addresses as you go, and picking one fills the rest.
  4. Leave the Status as Active, or set it to Archived to keep it out of new stock adjustments.
  5. Select Create.

To make a location the default, open it, select More Actions, then Set as default. This only shows on an active location that is not already the default. The same menu holds View audit history, which opens the location’s dated list of changes in a new tab. To change a location, select Edit, then Save. To remove one, select Delete in the header and confirm.

  • Adjusting stock: The Inventory card shows an item’s quantity at each location and opens the window that moves it up or down outside an order.
  • Items and locations: Inventory is two lists, one of the items you buy and sell and one of the locations you keep them in.
  • Notes and media on items and locations: The timeline at the foot of an item or a location takes staff notes and attachments, and an item also has a Media card for its pictures.
  • Creating an item: The create button opens the item form, which covers naming, pricing, stock tracking and the vendor you buy from.
  • Audit history on a record: A record’s audit page is the dated list of what was changed on it, by whom, with the value before and after each change.
