Exporting items

Who can do this: administrators and owners.

What it does

Export items downloads your items as a CSV file, named for the day you took it. The download starts in the browser and a message says how many rows came back.

The file it produces is the file the import reads. An export is the quickest way to get a spreadsheet of your own items, change them in bulk and bring them back in.

Before you start

Exporting is for an administrator or above. Below that, the Actions menu is not there at all.

Export takes your whole item list, not the filtered view you are looking at. Past 10,000 rows it will not run at all, so bring the number of items down first (filtering the view does not) if you are close to that count. An item with variants spends a row on each of them rather than one row outright, so the count that matters is rows, not items.

How to use it

  1. Open the Items list.
  2. Select Actions.
  3. Select Export items.
  4. Your browser saves the file, and the row count appears at the corner of the screen.

Troubleshooting

If your export is refused, the list is over 10,000 items. Filters on screen are ignored, so narrowing the list before exporting does not bring the count down.

  • Importing items from a spreadsheet: A wizard matches the columns of a CSV or TSV to item fields, then applies the changes after a preview.
  • Items and locations: Inventory is two lists, one of the items you buy and sell and one of the locations you keep them in.
  • Creating an item: The create button opens the item form, which covers naming, pricing, stock tracking and the vendor you buy from.
