Assignees, watchers and status

What it does

The card at the top right of a task sets the team the work belongs to and the person on it. Changing the team clears the assignee, since the people offered come from the team.

The status buttons are in the heading. A task starts Assigned. Start Work on Task moves it to In Progress. Put Task on Hold moves it to On Hold, and Resume Work on Task brings it back. Complete Task closes it, and a completed task then offers Reopen Task.

Completing opens a window asking for a closure note on the record. Skip completes without one.

The watchers card under the assignee follows the task for anyone who wants to know when it moves, whether or not the work is theirs.

More Actions in the heading holds View audit history, which opens the task’s record of changes in a new tab, Remove from board where the task is on one, and Delete.

Before you start

Delete is offered to a team leader, an administrator or an owner. Below that role it is unavailable, with a tooltip explaining why.

Which status buttons you see depends on the task. Start, Pause, Resume, Complete and Reopen go to the person the task is assigned to and to a manager of the team it belongs to. Start is also offered to anyone in that team while the task has no assignee.

Starting an unassigned task in your own team assigns it to you first. If a manager starts someone else’s task, only the status changes - the assignee stays as it was.

How to use it

  1. Open a task from the Tasks tab or from a card on a board.
  2. Set the team, then pick the assignee from that team.
  3. Select Start Work on Task when you pick the work up.
  4. Select Put Task on Hold if it stalls, and Resume Work on Task when it moves again.
  5. Select Complete Task, write a closure note or select Skip, then select Complete.
  6. Add yourself or a colleague to the watchers card to follow it.

The heading’s up and down arrows walk to the task before and after in the list you arrived from. A task opened from a link arrives without that context, so the arrows are not there.

Troubleshooting

If the teams that decide your actions could not be read, the page says so above the heading. A missing button otherwise looks the same as a button you are not allowed to use.

  • Creating and editing a task: A task takes a title, description, due date, priority, board placement, reference and parent record, and the same form edits it later.
  • Columns and cards: A board is columns of cards, added, renamed, mapped to a status, sorted, cleared, collapsed and reordered, with tasks dragged between them.
  • Tags and notes on a task: Tags label a task for searching and the notes timeline records what was said and done on it, with files attached.
  • Work boards and tasks: Work Boards lists your boards and Tasks lists every task, each with saved views and a create button.
  • Audit history on a record: A record’s audit page is the dated list of what was changed on it, by whom, with the value before and after each change.
