Members and invitations

What it does

Members is two tables. The first lists everyone in the organisation with their name, email, status, role, whether two-factor is set, when they joined and when they were last seen. The second lists Pending Invites with the invited name, email, status, role, and who sent the invitation.

Invite Member opens a panel that takes several recipients at once. Each recipient has an email, an optional name, and a role. A personal message can be written underneath and goes out in the invitation email.

Ticking rows in either table opens a menu of actions. The members table offers Reassign Role and Remove. Reassign Role starts on the role the selected members already share, or on Member when their roles differ. Reassign is greyed out until you choose a role that changes at least one of them. The invitations table offers Resend Invite and Remove. Selecting a member’s row opens their page, with their profile, status, role, last seen, their experience and achievements while achievements are on, and their Quest Chart while quests are on. It is the same map as the Quest Chart tab on your own My Progress page. A quest’s card there shows its name, and Completed for a finished quest, but no steps and no Start Quest or Resume. A locked quest’s card reads Unlocks after earlier quests. Scrolling there moves the page. Drag to move the map, and pinch or hold Ctrl and scroll to zoom. More Actions there offers Reassign Role and Revoke Access.

Before you start

Reading the roster is open to every member. Inviting, resending, revoking, reassigning a role and removing a member all need administrator or above, and the invitations table is not even loaded below that role.

The roles you can hand out are the ones your own role reaches. Only an owner can make someone an owner.

A demo organisation has no invitations to manage, so you cannot manage members there, whatever your role shows.

Members count towards your plan’s user limit. On a per-user plan, adding or removing someone changes your next invoice.

How to use it

  1. Open Settings, then Members under Organisation.
  2. Select Invite Member.
  3. Enter the recipient’s email, and a name if you have one.
  4. Choose the role to give them.
  5. Select Add another recipient for each further person, write a message if you want one, then select Invite Members.

You can remove yourself or downgrade your own role. Each shows a warning first that explains what you would lose.

An integration’s service account shows on the roster and can be reassigned, but you cannot revoke its access. That account goes away when its integration is uninstalled.

  • Teams: Teams group members under a manager, and each team has its own page, members card and audit history.
  • Plan, usage and payment: The billing page shows the current plan, seats, usage against the plan limits, Hermes AI credits, storage and payment details.
  • Your profile: Your name, email, picture, personal email signature and password are all on the profile page.
