Tags and notes on a task

What it does

Tags are free-text labels in the sidebar of a task. Add a tag opens a field that suggests tags already in use on other tasks as you type, and each tag has a cross for taking it off. A board’s search box matches a tag, so a tag is one way to pull a set of cards together.

The notes timeline at the foot of the task page is its running record. Your own notes sit there beside the entries the system writes, grouped by day. A note takes a file attachment, and a note you wrote can be edited afterwards.

A closure note written when a task is completed is added to the same record.

Before you start

Tags on a task are shared with every other task, in the sense that the suggestions come from tags already used. They are still per task, and removing one here leaves it on the others.

Notes on a task are internal only - there is no switch to make them public, unlike notes on a contact or an order.

How to use it

  1. Open a task and find the Tags card in the sidebar.
  2. Select Add a tag, type, and pick a suggestion or press Enter to keep what you typed.
  3. Select the cross on a tag to remove it.
  4. Scroll to Notes Timeline and write in the Leave a note box.
  5. Select Attach File to add a document to the note, then post it.
  6. Scroll on to read further back. More notes load as you reach them.

Troubleshooting

If the notes cannot be loaded, the timeline says so and offers Retry.

  • Assignees, watchers and status: A task page sets who the work belongs to, who follows it, and drives it from assigned through in progress, on hold and completed.
  • Parent records and task numbers: A task links to the order, contact, item, location or task it is about, and its T-number copies when you select it.
  • Columns and cards: A board is columns of cards, added, renamed, mapped to a status, sorted, cleared, collapsed and reordered, with tasks dragged between them.
