Inventory
Last Updated: September 30, 2026
Inventory is the list of what you buy and sell, and the places you keep it. An item is a product or a service with its own price, tax, unit of measure and vendor, and one that comes in sizes or colours splits into variants with prices and stock of their own. Stock sits at a location, whether that is a warehouse, a shop or the back of the van, and every on-hand quantity belongs to one of them, so you pick a location when you receive a purchase order and again when you correct a count. The import reads a spreadsheet straight into the list, and the export writes one back out.
In this section
- Items and locations: Inventory is two lists, one of the items you buy and sell and one of the locations you keep them in.
- Creating an item: The create button opens the item form, which covers naming, pricing, stock tracking and the vendor you buy from.
- Editing and deleting an item: Edit reopens the item form, and More Actions holds the audit history and the trash.
- Options and variants: Option dimensions such as Size and Colour generate a variant for every combination, each with its own price and stock.
- Adjusting stock: The Inventory card shows an item’s quantity at each location and opens the window that moves it up or down outside an order.
- Pricing, shipping and vendor details: The cards on an item cover its prices and tax, its shipping details, the vendor you buy it from and its categories.
- Stock locations: Locations are the places you keep stock, each with an address of its own and stats for what is held there.
- Importing items from a spreadsheet: A wizard matches the columns of a CSV or TSV to item fields, then applies the changes after a preview.
- Exporting items: Actions downloads your whole item list as a CSV.
- Notes and media on items and locations: The timeline at the foot of an item or a location takes staff notes and attachments, and an item also has a Media card for its pictures.
