Adjusting stock

What it does

The Inventory card on an item shows its SKU and Barcode. Where the item is tracking inventory, it also shows a table of the locations it is stocked in, with the quantity at each.

Adjust Stock opens a window for moving those quantities without going through a purchase order or a sale. Each row picks a Location, an Adjustment and a Reason, and shows the quantity before and after. The reasons are Correction, Received, Returned, Damaged, Theft or Loss, and Fulfilled. Add another location adds a second row, so one save can correct several locations at once.

An item with variants adjusts its stock from the variants table instead, where the window takes one location, one reason and an adjustment per variant.

Before you start

Adjust Stock only shows on an item that is tracking inventory and has no variants. If your organisation has no locations yet, the button is greyed out and says to create one first.

Taking a location below zero with an adjustment is still allowed. A warning identifies the location and explains that the stock owed is recorded, and its value is zero until it is received.

How to use it

  1. Open the item and find the Inventory card.
  2. Select Adjust Stock.
  3. Choose the location. Nothing is chosen for you, each option shows the quantity already there, and each row must pick a different location from the others in Adjust Stock.
  4. Type the adjustment. A plain number adds stock and a negative number takes it away.
  5. Choose the reason.
  6. Select Save. A note recording the adjustment appears on the item’s timeline.
  • Stock locations: Locations are the places you keep stock, each with an address of its own and stats for what is held there.
  • Options and variants: Option dimensions such as Size and Colour generate a variant for every combination, each with its own price and stock.
  • Items and locations: Inventory is two lists, one of the items you buy and sell and one of the locations you keep them in.
  • Notes and media on items and locations: The timeline at the foot of an item or a location takes staff notes and attachments, and an item also has a Media card for its pictures.
