Items and locations

What it does

Inventory puts two tabs over two lists. Items are the products and services you sell and the things you buy, each with its own price, tax, unit of measure and stock. Locations are the places you hold stock, and every on-hand quantity belongs to one of them.

The items list gives every field on an item a column of its own. Show or hide most of them from Customise, above the table. Product always shows, and most of the rest start off until you turn them on.

The locations list covers Name, Status, Default, Address, SKUs, Stock, Retail Value and Cost Value alongside the same created and updated columns.

Before you start

An item’s status limits where it can be used. Active items can go on orders and Draft items cannot. Unlisted items are kept off new orders, though the orders already made with them stay as they are.

Archiving a location keeps its stock visible but takes it off the list of places you can adjust stock into.

The Actions menu above the items list, which holds import and export, only shows for an administrator.

How to use it

  1. At the top of the page, select Locations or Items to move between the two lists.
  2. Select a chip above the table to narrow the list. Each list opens on its Active view.
  3. Select a row to open that item or location.
  4. Use the arrows in that record’s header to walk to the next row in the same filtered order.

Each list has its own chips.

  • Items narrow to Active, Draft or Unlisted.
  • Locations narrow to Active or Archived.

Your search, your sort, the filters and the page size live in the address of the page. A filtered list can be sent to someone else and opens as you left it. Which columns you show is not part of that.

  • Creating an item: The create button opens the item form, which covers naming, pricing, stock tracking and the vendor you buy from.
  • Stock locations: Locations are the places you keep stock, each with an address of its own and stats for what is held there.
  • Adjusting stock: The Inventory card shows an item’s quantity at each location and opens the window that moves it up or down outside an order.
  • Importing items from a spreadsheet: A wizard matches the columns of a CSV or TSV to item fields, then applies the changes after a preview.
