Quotes, sales orders and purchase orders

What it does

Orders puts one set of tabs over three record types. A quote prices an offer to a customer and is marked won or lost once the customer decides. Work you owe a customer is a sales order, which you fulfil and collect payment against. A purchase order records what you have ordered from a vendor, and you receive it into a location.

Above each list is a strip of figures for the last 30 days, compared with the 30 days before. The quotes strip counts quotes, their value, the conversion rate, and how many were marked won and lost. For sales orders the first two figures are the order count and the revenue; for purchase orders, the purchase order count and the spend. The figures after those depend on whether your organisation sells goods, services or both. They include Fulfilled, Paid, Received and Outstanding.

How to use it

  1. At the top of the page, select Quotes, Sales Orders or Purchase Orders to move between the three lists. If your organisation sells services only, the second tab reads Invoices instead, and its orders are called invoices throughout.
  2. Select a chip above the table to narrow the list. Each list opens on its Open view.
  3. Select a row to open that order.
  4. Select the create button at the top right to start a record of the type you are looking at.

Each type has its own chips.

  • Quotes start at Open, which covers draft, sent and viewed, and narrow to Draft, Sent, Won or Lost.
  • Sales orders narrow by payment and by fulfilment as well as by status, through Paid, Unpaid, Unfulfilled, Partially Fulfilled, Fulfilled and Closed.
  • On purchase orders the chips are Draft, Sent, Not Received, Partially Received, Received, Late and Closed.

The Closed view on sales orders and purchase orders also lists cancelled orders, because a cancelled order has no view of its own. Read the status badge on the row to tell the two apart.

Troubleshooting

If the figures strip shows a message instead of numbers, Lucrii could not read them for that period.

  • Creating an order: The create button opens a form for the order type you are viewing and saves it as a new record.
  • Sending and closing a quote: A quote is sent from its own page and ends as won, which raises a sales order, or as lost.
  • Recording payments: The payments card records money received against a sales order or paid out on a purchase order.
  • Fulfilling and receiving: A fulfilment ships a sales order’s lines out of a location and receives a purchase order’s into one, with a lighter mark as fulfilled button for orders that move no stock.
