Document templates

What it does

Templates has two sections and a filter above them. The filter narrows both sections to one document type. Installed Templates shows what your organisation already has. Each card is marked with its type and a Default star where it is the default. An Update available badge shows when the gallery version has moved on. That section appears only while the filter matches something installed, so it is absent on a fresh organisation and on a type you have installed nothing for. Template Gallery shows what is left to install.

Install opens a window with a preview, a Template Name of your own, and a checkbox to set the new template as the default for its type. Installing takes you to the template’s own page.

That page puts a live preview beside a Template Settings card built from the template’s own properties. The colours, fonts and switches on offer are the ones that template defines. Save writes them. More Actions offers Set as default, View audit history and Uninstall, and Update appears beside them while the gallery has a newer version.

Before you start

Administrator or above. Installing, saving template settings and everything in More Actions are unavailable below that role, and you will not see the install option at all.

How to use it

  1. Open Settings, then Templates under Organisation.
  2. Choose a type in the filter, or leave it on All Types.
  3. Select Install on a gallery card.
  4. Give the template a name of your own.
  5. Select Install Template, then set its properties on the page that opens and select Save.

The first template of a type becomes the default whether or not you tick the box, since a type with only one template has nothing else to fall back to.

You can only uninstall a template while another of the same type is installed, so a type is never left without one. Documents you already made keep the template they were made with.

Updating from the gallery keeps the settings you have already set. Once you have installed every template in a type, the gallery section says so.

  • General organisation settings: Name, logo, currency, country, timezone, business type, email signature, the two consent switches and the quests setting for the organisation.
  • Emailing and downloading documents: The send window previews a quote, an invoice or a purchase order, emails it to the order’s contact and resends it later, and the same document downloads as a PDF.
  • Audit history on a record: A record’s audit page is the dated list of what was changed on it, by whom, with the value before and after each change.
