Bulk actions on tasks and boards
What it does
A bulk action runs one action on every task or board you tick. Ticked rows bring up a bar at the top of the list. Work boards and tasks covers ticking rows and selecting every match.
On the Tasks list, the bar offers Edit Fields, Move and Delete.
- Edit Fields changes Status, Priority, Assignee, Due Date, Tags and Watchers. Tick each field to change and set its value. Once ticked, Assignee, Due Date, Tags and Watchers show their choices, such as Set or Clear, under the field’s name.
- Move puts the tasks on a board. Choose the board, then a column or Default Column. Choose No Board to take the tasks off their boards.
On the Work Boards list, the bar offers Delete. The cards on a deleted board stay in your task list.
On a board, select a card to pick it. Hold Cmd or Ctrl as you select more cards. With two or more cards picked, the same bar appears at the foot of the board. There, the count holds Clear Selection alone. Dragging one picked card moves them all to where you drop it.
| Field | What it takes |
|---|---|
| Assignee | A team, then one of its members, or Keep Current Assignees to keep each assignee who is a member of that team. Clear leaves the tasks with no assignee and keeps their team |
| Due Date | A day, Clear, or a shift by a number of days |
| Tags | Add, Remove or Replace, with at least one tag for Replace |
| Watchers | Add, Remove or Replace, where replacing with no one clears them |
| Status | A status, with a closure note for Completed |
Each task gets the closure note. Lucrii takes the note when you select the button that confirms the job, and typing it doesn’t start a new check. Default Column is the leftmost column with no status. On a board where every column sets one, it is the first column.
Before anything changes, the window shows how many tasks or boards will change. It also says why Lucrii skips the rest, such as a task with no due date to shift or a board you cannot change. It checks as soon as the action’s settings are filled in, and again each time you change them. Lucrii groups the skipped tasks or boards by reason. The Show button beside a reason lists up to 10 of them, each linked to its page. A link such as “and 12 more” opens the rest in Bulk Activity. These links open in a new tab. A button such as Select 3 Skipped Tasks ticks the tasks or boards with that reason. Lucrii leaves the button out when every task or board you selected has that reason. When you select one task or board and Lucrii skips it, the window gives only the reason.
When the job finishes, a message says how many tasks or boards changed and how many Lucrii skipped. View Job opens the job in Bulk Activity. Select Skipped ticks the skipped tasks or boards again, and Select Failed ticks any that failed. A message with skips or failures does not close by itself. You close it.
Before you start
Deleting tasks is for a team leader and above. A member can’t do it.
Deleting a board follows the board’s own rule. So does moving cards that are already on a board. Either needs a team leader and above, or the manager of the board’s team. Any member can put a card that is on no board onto one.
Lucrii changes each task as its page does. It applies Assignee before Status. In Progress or Completed then makes you the assignee, unless you manage the task’s team. If you are not a member of the task’s team, the task also moves to a team you belong to. Lucrii skips a task when the assignee you choose is not a member of its team. The reason reads “Choose an assignee from this task’s team.” The task page, Hermes and MCP clients refuse that assignee with the same words.
A due date cannot move to a day before today in your organisation’s time zone. A task already due on a past day keeps that day when you set the same one again.
Watchers take at most 100 people. That limit is per change.
Deleting more than 25 tasks or boards asks you to type the number first.
You can have three jobs in progress at once, counting bulk actions and exports together. Quotes, sales orders and purchase orders says how the limit works.
How to use it
- Open Tasks or Work Boards from the Work Boards area, or open a board.
- Tick the rows you want. On a board, hold Cmd or Ctrl and select the cards.
- Select Edit Fields, Move or Delete in the bar.
- Fill in the action’s settings. The window checks the tasks as you go.
- Select the button that counts the tasks that will change, such as Move 8 Tasks.
- Read the message with the number changed and the number skipped.
Troubleshooting
Lucrii skipped a task you ticked. The reason is the one the task’s page would give. The check groups the reasons, and Bulk Activity lists each skipped task beside its reason.
