Exporting orders

Last updated: October 16, 2026

Who can do this: team leaders, administrators and owners.

What it does

The Actions menu beside the create button on each orders list holds Export. It saves the orders you choose as a CSV file for a spreadsheet. Selected and Everything export in the list’s sort. All Matching exports in the list’s default order.

The Orders file has one row per order. Its columns include the number, status, customer or vendor and their email, team, assignee, watchers, totals and dates. The tables on this page give each column’s label. Importing and exporting contacts explains the headings in the file.

ColumnWhat it shows
Assignee, Assignee EmailThe person on the order and their email
Watcher EmailsThe emails of the people watching the order
Exchange RateThe rate to your organisation’s currency, 1 for an order with no rate of its own
Discount %, Total DiscountThe order’s discount
Base TotalThe total in your organisation’s currency at the Exchange Rate
Net Paid, Amount Owed, Credit OwedThe order’s balance, as its page shows it, on sales and purchase orders
Fulfilment Status, Received StatusHow much of a sales order has shipped, or of a purchase order has arrived
Fulfilment Location, Receiving LocationWhere a sales order ships from, or a purchase order is received into
Payment Terms, Cancel ReasonThe stored value, such as due_within_30_days
Shipping columnsThe shipping address, on quotes and sales orders
Linked OrdersThe numbers of the orders linked to this one
Created At, Created ByWhen the order was made, and by whom
Updated At, Updated ByWhen it last changed, and by whom

The Orders file also has Due Date, Expected Date, Terms and Conditions and Tags. A quote has Decided At, and a sales order has Cancelled At. Watcher Emails, Linked Orders and Tags separate their entries with |.

The Order Lines file has one row per line. Its columns include the order’s number, ID, customer or vendor, created date and status. In the export window, a quote’s number and ID columns are named Quote and Quote ID. Other columns hold the item and its SKU, the quantity, the unit price, the tax and its rate, and the line total. On sales and purchase orders, they also hold how much of the line is fulfilled or received, refunded and returned. Amounts Include Tax says whether that line total is before or after tax.

Lucrii writes amounts in each order’s own currency, with a Currency column beside them. Each line total is in whole cents, or the smallest unit of the order’s currency. Totals and tax are in the same units, as the order shows them. Line items explains how the line totals add up. A unit price keeps every decimal place you entered. So 2.345 stays 2.345.

Every amount, exchange rate and tax rate in a file uses the decimal mark of your organisation’s currency. One file has one decimal mark, whatever currency each order is in.

On the Sales Orders and Purchase Orders lists, Export also offers Payments and Fulfilments.

  • Payments has one row per payment, refund or chargeback. Refunds and chargebacks are negative. An order’s rows add up to its Net Paid.
  • Fulfilments has one row per line of each fulfilment, or of each receipt on a purchase order. A reversed fulfilment has no row.

A Payments file opens on Payment ID, then the order’s number, ID and contact. These follow.

ColumnWhat it shows
Typepayment, refund or chargeback
DateWhen the money moved
Amount, CurrencyThe amount, negative for money that went back
Base AmountThe amount in your organisation’s currency
SourceHow the money moved, as the payment form names it
Reason, Refund Reason, Discrepancy ReasonThe reasons recorded with it, as stored, such as damaged
Recorded AtWhen it was recorded in Lucrii

A Fulfilments file opens on the fulfilment’s ID, then the same order columns. These follow.

ColumnWhat it shows
DateWhen the goods shipped or arrived
LocationWhere they shipped from or arrived at
LineThe line’s number, as the Order Lines file numbers it
Item, SKU, Variant, DescriptionWhat shipped or arrived
QuantityHow many on that line
Created ByWho recorded it

Every orders list offers Notes too. It has one row per note on the orders you chose, oldest first within each order.

ColumnWhat it shows
Order ID, OrderThe order the note is on, by its ID and its number. In the export window, a quote’s columns are named Quote ID and Quote
Note IDThe note’s own ID
Typedefault for a note someone wrote, system for one Lucrii added
PublicYes for a public note, No for a private one
AuthorThe member, contact or Hermes who wrote the note
TextThe note as plain text, with a mention as @Name
Emailed AtWhen Lucrii emailed the note, blank if it never went
Created At, Created ByWhen the note was written, and by whom
Updated At, Updated ByWhen it was last edited, and by whom

In the export window, a Notes file from another list names its record with that list’s word. Contacts give Contact ID and Contact, and items give Item ID and Item. Locations and tasks follow the same pattern. A Notes file’s default columns are the record’s ID and name, Author, Text and Created At.

Lucrii skips an order with nothing for the file you chose, and Bulk Activity gives the reason.

  • Payments: “No payments or refunds to export.”
  • Fulfilments: “Nothing fulfilled or received to export.”
  • Notes: “No notes to export.”

An Orders file’s name starts with the list, as in sales_orders. Every other file adds its own name, as in sales_order_order_lines and sales_order_payments.

Lucrii prepares the file in the background. When the file is ready, a message appears. You also get an email with a link to the export in Bulk Activity, where you download it. The email gives the name of the file you chose, such as Payments.

Before you start

  • Exporting is for a team leader or above.
  • You can’t import orders, order lines, payments, fulfilments or notes from a file.
  • In a demo organisation, Lucrii doesn’t send the email when an export is ready. The file is still in Bulk Activity.
  • You can have three jobs in progress at once, counting bulk actions and exports together. Quotes, sales orders and purchase orders says how the limit works.

How to use it

  1. Open Orders and choose Quotes, Sales Orders or Purchase Orders.
  2. To export some of the orders, tick them first or narrow the list with filters.
  3. Select Actions, then Export.
  4. Under Records, choose Selected, All Matching or Everything. Selected takes the orders you ticked. All Matching takes every order your search and filters match. Everything takes every order in the list.
  5. Under Shape, choose Orders for one row per order or Order Lines for one row per line. On sales and purchase orders, choose Payments for one row per payment, refund or chargeback, or Fulfilments for one row per fulfilment or receipt line. Choose Notes for one row per note.
  6. Under Columns, choose Columns in This View, All Columns, or Choose Columns to pick your own.
  7. Select Export, and download the file from the message or Bulk Activity when it is ready.

For Orders, Columns in This View writes the columns the list shows. The number column brings Status with it. The Assignee column brings Team and Assignee. On purchase orders, the list’s Received Status column writes the file’s Received Status. Total and Net Paid bring Currency. For Order Lines, Payments, Fulfilments and Notes, Columns in This View writes their default columns.

  • Quotes, sales orders and purchase orders: Switch between the quotes, sales orders and purchase orders lists, each with figures above it and views that filter it by status.
  • Bulk actions on orders: Tick quotes, sales orders or purchase orders on a list, then send, fulfil, receive or tag them together after a check of which ones will change.
  • Bulk Activity: See the imports, exports and changes to many records at once that your role shows you, and what happened to each record.
