## What it does

See who else is working on a record, so two people don't change it at once without knowing. An order, a contact, a contact location, an item, a location, a task or a work board shows who else has it open. A chip in the header, to the left of its buttons, holds a green dot, up to three avatars and a sentence. You never see your own.

- A fourth person and more count in the sentence only. On a phone the chip shows the dot and avatars only.
- Hover over an avatar to see the person's card, with a line such as "Here since 10:42 am".
- Someone without a photo shows their initials on a colour of their own, the same everywhere in Lucrii.

When someone saves a record you have open, the page shows their change at once.

- The values that changed glow for a moment.
- A message with their picture says who changed it, as in "Sarah Mitchell has just updated this order."
- Saves that arrive within 5 seconds of the first share one message, as in "Sarah Mitchell and James Wilson have just updated this order." With three or more people it reads as in "3 people have just updated this order."
- The record's [audit page](/docs/account/audit-history.md) holds the values before and after.

The message names whoever made the change.

With two sources it reads as in "Sarah Mitchell and Xero have just updated this order." With three or more sources, when any is not a person, it reads as in "3 updates just came in for this order."

Editing beside someone else:

- The edit form's bar shows the chip too, and Lucrii leaves what you have typed alone. A colleague's save brings the same message, as in "Sam Lee has just saved changes to this order."
- Where they saved a field you have also changed, an amber note shows beside the chip until you save. It reads as in "Sam also changed 1 field you're editing".
- Colleagues who share a first name show by their full names, as in "Sam Lee and Sam Ng also changed 2 fields you're editing".
- An edit form saves only the fields you changed. Someone else's changes to other fields stay, so both sets save side by side and Lucrii asks nothing.

Where you both changed the same field, Save opens Resolve Edit Conflicts. It says who saved, as in "Sam Lee saved changes to fields you also changed while you were editing." A table lists each field with their value and yours, up to three rows, and Show All lists the rest. You choose once for the whole record, and your other changes save whichever you choose.

| Keep Mine | Saves all of your changes, replacing theirs |
| Cancel | Closes the window and leaves the form as you left it, unsaved. Esc does the same |

On an order, a line someone added while you edited stays. A line someone removed after you changed it reads "Sam Lee removed a line you changed". Keep Mine adds it back as a line of its own, and Keep Theirs leaves it removed. Lucrii works out the totals, tax and balances again after either choice.

After a save, "Saved with changes from Sam Lee" means the record keeps their changes beside yours. The line under it lists what Lucrii kept, as in "Status was kept beside your changes". Where Lucrii cannot name who saved, it reads "Saved with changes made since you opened this page". A tax, a unit or a team always reads that way.

Good to know:

- Your own saves bring no message, and neither does a change Hermes or an MCP client makes for you.
- Hermes, an MCP client, an app you installed, an import and a bulk action save without asking. Their value replaces the field.
- Lucrii takes your avatar out of the chip once the record's tab has been hidden for a minute. Show it again and your avatar comes back. The page reloads the record, since changes made while the tab was hidden don't arrive one by one. The values that changed glow, with no message.
- When the connection drops and comes back, the page reloads the record the same way, once. A tab that was hidden and lost its connection reloads once too.
- Lists do not refresh for other people's changes. A list you started a bulk action from refreshes its rows when the job finishes.

## Before you start

Everyone who can open the record sees the chip, and appears in it for everyone else.

## How to use it

1. Open the record. The chip in the header shows who else is there.
2. Hover over an avatar in the chip to see who it is.
3. When a message says someone updated the record, the values that changed glow.
4. Select More Actions, then View Audit History, to see the values before and after.
5. On an edit form, select Save. If Resolve Edit Conflicts opens, choose Keep Theirs, Keep Mine or Cancel.

## Troubleshooting

An avatar stays in the chip after the person has closed the record. This happens when they close its tab and keep Lucrii open in another. Lucrii removes it within 3 minutes.

The avatars and changes stop arriving. The banner under the top bar says why.

- "You're offline. Changes won't save until you reconnect." means your device has no connection.
- "Reconnecting to Lucrii…" shows while Lucrii tries again, after 5 seconds without a connection.
- "Lucrii lost its connection." comes with Retry, which tries again.
- Lucrii also tries again when your device comes back online or you show the tab.
